See how much of the cap is used before you go over it.

Time-and-materials implementations, support retainers and fixed-price projects, each on its own model, on one platform. Logged time, valued at your rates, is set against the cap and the budget as the work goes on, and you see the margin on every engagement.

The management layer, not the helpdesk. FuseCRM holds contracts, people, hours and billing. Tickets, monitoring and remote access stay in your support tools.
Where it hurts

The problems every IT firm knows

Every contract is different, the people are the same, and hours get lost in between.

The cap overrun you find at billing

The time-and-materials project was capped at €40,000. Only when you prepare the invoice do you find that €48,000 of work went in, and the client pays €40,000.

The support retainer, quietly used up

The client has 20 hours a month included and keeps using 30. Nobody bills the difference, because nobody sees it in time.

The same engineers, promised to three projects

Good consultants are wanted everywhere. Without a shared view, two managers book them for the same week.

Project margin, found out at the end

Hours sit in the timesheet, rates in the contract, invoices in accounting. You learn which project made money and which lost it after it closed.

How FuseCRM helps

Every contract, tracked on its own model

Cap overrun, found on the invoice

See consumption against the cap, on every contract

On time-and-materials projects you set the cap agreed with the client, in the contract currency, and the threshold for the alert. Billable time is set against the cap as the work goes on, and past the cap the app accepts no new billable time.

Retainer quietly used up

The support retainer, with overage in plain sight

You set up the retainer with its included hours. Hours used and hours beyond the allowance show on every contract and in work in progress. The overage, priced at the agreed rate, goes on the invoice instead of being quietly absorbed.

The overage reaches the invoice
Engineers promised twice

Plan consultants across every project

You book people onto each engagement and see real availability: capacity minus leave and what other projects have booked. A plan that asks more of someone than they have available can’t be submitted.

Margin found at the end

Margin on every engagement, with the client in view

Set the cost of logged hours, at standard cost, against what you invoiced and you get the margin on every engagement. You see clearly which implementations and retainers make you money.

Decisions made on numbers
How it looks in practice

Monday morning, the contract review

You open project consumption: the retail client’s M365 implementation is at 92% of the cap, and the migration still has two weeks to go. The alert came on Friday, not at billing.

You call the client while there’s still something to negotiate and extend the cap through a change order: once approved, the engagement is replaced by one with the new cap. In the same meeting you see the manufacturing client’s support retainer has gone past its included hours for the third month running.

Work beyond the original cap gets paid, the retainer overage reaches the invoice, and you go into the renegotiation with numbers.
